Information Governance Specialist implements and administers enterprise-wide document management systems and related procedures that allow the organization to capture, store, retrieve, share, and destroy business information in electronic and physical format. Participates and contributes to the development, operations, and maintenance of a comprehensive Information Governance Program, including compliance with all legal, regulatory, corporate, financial requirements, and retention and destruction schedules.  Ensures appropriate procedures for the creation, maintenance, archiving and destruction of all company information.  Coordinates with appropriate business areas impacted by legal proceedings and audits.  Identifies vital records and establishes guidelines to maintain business continuity after a disruption or disaster.

 

JOB DUTIES

  • Sets, implements, follows, and promotes understanding of organizational policies and best practices in Information Governance.
  • Understands the basic principles, theories and concepts related to the profession and learns how to apply them within the ERCOT culture.
  • Follows standard practices and procedures in analyzing situations or data from which answers can be readily obtained.
  • Contributes to specific objectives and outcomes as directed.

 

ADDITIONAL JOB DUTIES

  • Identifies who is responsible and accountable for managing content within the organization
  • Maintains and updates an appropriate retention and destruction schedule compliant with all applicable laws and regulations
  • Coordinates with the IT Department regarding the management of electronic content and maintenance of Information Governance software
  • Coordinates with Security regarding classification, security, protection, and destruction of Records including off-site storage and retrieval
  • Follows best practice procedure, guidelines and standards for recordkeeping and classification of physical and electronic content
  • Interface with and train coordinators from each department on procedures and guidelines related to Information Governance
  • Routinely communicates with all departments regarding Information Governance initiatives, issues, and changes
  • Manages, monitors, and tracks official business information of any media throughout their life cycle
  • Remains current with Information Governance, Records Management, and Archival principals, technology, legislation, policies, and best practices
  • Carries out procedures for, and enforcement of, any holds or preservation orders on the destruction of information because of tax, legal, or operational reasons
  • Works cooperatively with IT Department to provide appropriate repositories and plans for mission critical business content and Disaster Recovery
  • Supports and instructs ERCOT departments and their personnel regarding management of all content that are not deemed essential business information

 

REQUIRED EXPERIENCE

  • Requires minimum 2 years related work experience in excess of degree requirements

 

PREFERRED EXPERIENCE

  • Familiarity with Microsoft Office 365, specifically the administration and management of SharePoint Online, MS Teams, and OneDrive
  • An Understanding of the eDiscovery process and software used to search, review, and produce content for information requests, legal actions, audits, and investigations
  • Experience with relational databases and structured data systems and applying retention and Information Governance principles to them
  • Awareness and understanding of the Lifecycle of Information concept and applying Archival principles to content with long-term and enduring value

 

Salary and level will be based on overall experience as determined by ERCOT.

 

EDUCATION

  • Bachelor's Degree: Library Science, Business, or related field (Required)
  • Master's Degree: Library Science or related field (Preferred)
  • or a combination of education and experience that provides equivalent knowledge to a major in such fields is required

 

CERTIFICATIONS

  • Advanced certifications (CRM, IGP, CIP, CRA) or a desire to obtain them (Preferred)

 

WORK LOCATION – Taylor, TX:

  • Employees will be required to be on-site in Taylor, TX at minimum 2 days per week, or more, as needed based on the business needs as determined by management
  • On-site schedules are flexible or may be rotated based on business needs as determined by the Manager
  • Remote work is required to be performed from your Texas residence.  
  • Employees may opt to work on-site more than required or 100% of the time
